Set up an auto-reply text on your phone so new callers get your booking link instead of silence. Five minutes.
You are mid-extraction, gloves on, client’s eyes closed. Your phone buzzes. You cannot pick it up. The caller hears four rings, gets voicemail, and hangs up. A 411 Locals study tracked 85 businesses across 58 industries and found that 62% of calls to small businesses go unanswered. Of those callers, 85% never call back. They search the next name on Google instead. When you are solo, every hour on the table is an hour you cannot answer the phone. That is most of your working day.
What you are setting up
An automatic text that fires when you miss a call. The caller gets a message within seconds, with your booking link and a note that you are with a client. No app subscription needed. Your phone can do this already.
iPhone: Go to Settings, then Focus. Tap the plus icon to create a new Focus. Name it “With Client.” Under Options, turn on Auto-Reply. Set recipients to All Contacts (or Everyone, if your iOS version shows it). Paste your message. Activate the Focus manually before each client, or set it on a schedule matching your working hours.
Android: Download the free app SMS Auto Reply from the Play Store. Create a new rule, set it to reply to all incoming messages, paste your text, and toggle it on. You can schedule it to run during your working hours automatically.
The exact message
Keep it short. Here is what I send:
“Hi! I’m with a client right now and can’t pick up. You can book directly here: [your booking link]. I’ll text you back within 2 hours if you need anything else.”
Three sentences. The caller knows you are real, you are busy (good sign), and they have a way to book without waiting.
✅ Include your booking link, not just your number
The goal is to convert the call into a booking before the person moves on. A message that says “I’ll call you back” loses to a message with a direct link. If you use online booking, paste that URL. If you do not have online booking yet, link to your Instagram DMs or a simple contact form.
What changes
You stop losing new clients during your busiest hours. Every missed call now gets an instant response with a clear next step. Your voicemail becomes irrelevant for booking. And you never have to interrupt a treatment to check who called.
I set this up two years ago. The automated text messages I already had covered reminders and follow-ups, but nothing caught inbound calls from people who had never booked before. Those are the most expensive ones to lose.
